People Operations & Training Coordinator
Organisation: Harry Karanja & Company Advocates
Location: Remote-first, with regular Nairobi meetings
Reports to: Managing Partner
Scope: Core staff, remote staff, interns and the firm's distributed contractor network
Deadline for Submission: 8th October 2026 (applications will be reviewed on a rolling basis)
About the organisation
HK Law operates differently from a traditional firm. A small core team works alongside remote staff and a nationwide network of advocates, briefers, enforcers, auctioneers, process servers, transcribers and other contractors. Recruitment, training, work allocation and performance evidence are managed through the ZAMU platform.
Why this role exists
Our people systems must be as disciplined as our legal and financial systems. This role owns the operational employee and contractor journey: workforce planning, recruitment administration, structured onboarding, training completion, performance follow-up, documentation and offboarding. It is a hands-on coordination role for someone who closes loops, keeps clean records and treats remote workers as real people rather than rows on a spreadsheet.
Key responsibilities
Recruitment and selection
- Translate approved staffing needs into clear job posts, screening questions, practical assessments and interview scorecards.
- Administer the Careers/HR pipeline from application through screening, interview scheduling, reference checks, offer, contract and onboarding.
- Coordinate the existing briefer recruitment pipeline, including gate checks, assessments, oral tests, approval and wait-list communication.
- Maintain fair, consistent selection records and timely candidate communication; protect applicants' personal data.
- Build talent pools by role and court station without promising work that is not available.
Onboarding, training and quality
- Give each starter a documented onboarding plan covering contract status, role boundaries, system access, confidentiality, data protection and required training.
- Own the training calendar and completion dashboard; follow up incomplete modules, assessments and policy acknowledgements.
- Coordinate subject-matter trainers and convert recurring errors or disputes into targeted refresher training.
- Maintain role descriptions, standard operating procedures, induction materials and training records as the platform changes.
- Ensure legal work remains subject to the appropriate advocate supervision and sign-off.
Remote staff and contractor operations
- Serve as the first people-operations contact for remote staff and contractors, route operational or welfare issues, and maintain a dependable response rhythm.
- Track probation, availability, contract renewals, practising certificates and other role-specific compliance documents.
- Coordinate structured check-ins and performance reviews using platform evidence, agreed KPIs and manager feedback.
- Support fair performance-improvement and disciplinary processes while keeping factual, confidential records.
- Run complete offboarding: approvals, handover, client/matter continuity, system-access revocation, return of property and final documentation.
- Keep employee relationships distinct from independent-contractor engagements in contracts, communications, benefits and management practice.
People data and reporting
- Maintain one accurate source of truth for personnel, contracts, skills, training, performance dates and availability.
- Report monthly on time-to-hire, stage conversion, onboarding completion, training compliance, retention, contractor coverage and open people risks.
- Use workload, marketplace fill rates and SLA failures to help managers identify recruitment or training needs.
- Escalate legal, safeguarding, payroll and serious conduct issues promptly to the Managing Partner or appropriate professional adviser.
What success looks like
- Candidates receive timely, consistent communication and every selection decision has an auditable basis.
- New starters have signed terms, correct access, induction and required training before handling live work.
- At least 95% of mandatory training and compliance renewals are completed by their due dates.
- Remote staff and contractors know where to raise an issue and receive an acknowledged response within one business day.
- Offboarding is completed without orphaned matters, live credentials or missing handovers.
Required experience and attributes
- At least three years' relevant experience in HR, people operations, recruitment coordination or learning and development.
- Practical knowledge of Kenyan employment processes and the discipline to preserve the distinction between staff and independent contractors.
- Experience supporting a remote or distributed workforce.
- Strong administration, spreadsheet and HR-system skills; confident learning a custom platform.
- Discretion, empathy, firmness and excellent written communication.
- Ability to turn policy into repeatable checklists and follow-through, not merely draft documents.
Preferred
- Relevant HR qualification or IHRM membership.
- Experience in a law firm, professional-services business or contractor marketplace.
- Experience designing practical training and assessment programmes.
HK Law is an equal opportunity employer. Final engagement terms and compensation will be agreed with the selected candidate.
Accounts & Data Reconciliation Assistant
Organisation: Harry Karanja & Company Advocates
Location: Remote-first, with scheduled Nairobi office days as required
Reports to: Accountant / Finance Lead, with escalation to the Managing Partner
Engagement: Full-time
Deadline for Submission: 8th October 2026 (applications will be reviewed on a rolling basis)
About the organisation
HK Law and ZAMU process professional fees, client and trust money, marketplace wallets, milestone escrow, contractor payouts, disbursements, M-Pesa and bank transactions. The system also contains legacy records that must be verified and backfilled carefully. Accuracy matters because a technically valid entry can still be financially wrong.
Why this role exists
The finance team needs a careful operator to do the evidence-heavy work behind reliable accounts: matching transactions, checking source documents, filling missing fields, tracing exceptions and keeping reconciliation queues moving. This is not a role for guessing or forcing the books to balance. When the evidence is incomplete, the correct action is to document the exception and escalate it.
Key responsibilities
Daily transaction verification
- Match bank and M-Pesa receipts to clients, matters, invoices, wallet top-ups, disbursements and the correct accounting period.
- Verify payee, payer, amount, date, reference and purpose against statements, receipts, invoices and platform records before confirming an allocation.
- Review exception queues for unmatched payments, duplicate records, partial payments, reversals, failed payouts and inconsistent references.
- Prepare proposed corrections with supporting evidence for accountant approval; do not post unsupported adjustments.
- Maintain the separation between office money, client/trust money, escrow liabilities and earned revenue.
Data backfilling and quality control
- Backfill missing or incomplete finance and matter fields from authoritative source documents using approved templates and rules.
- Validate imported or migrated data in controlled batches, record the source and reviewer, and preserve an audit trail.
- Identify duplicates, broken links and contradictory records; log them clearly for the accountant or technical team rather than silently choosing one.
- Perform before-and-after control totals and sample checks for every batch.
- Keep scanned support, filenames and references organised so another reviewer can reproduce the conclusion.
Reconciliations and reporting support
- Prepare daily and monthly bank, M-Pesa, receivables, wallet, escrow and contractor-payout reconciliation schedules.
- Support invoice follow-up, receipt issuance, supplier documentation and matter-level profitability checks.
- Maintain an aged exception register showing owner, evidence needed, next action and resolution date.
- Help prepare month-end schedules and audit support under the accountant's supervision.
- Describe recurring system or process faults precisely, with examples, so the programmer can correct the root cause.
Controls and confidentiality
- Follow maker-checker controls and approval limits. This role prepares and verifies; it does not approve its own sensitive corrections or payments.
- Never delete, overwrite or bulk-change financial data outside an approved, recoverable process.
- Protect client financial information and credentials and use only authorised storage and communication channels.
- Escalate suspected fraud, client-money risk, unexplained variances or control failures immediately.
What success looks like
- Daily transaction queues are current and month-end schedules are delivered on the agreed timetable.
- At least 98% of proposed matches pass accountant review without rework.
- Every backfill batch has source evidence, control totals and reviewer traceability.
- No office/client-money misclassification and no unauthorised adjustment or data deletion.
- The exception backlog falls over time, and recurring issues are converted into documented process or software fixes.
Required experience and attributes
- Diploma or degree in accounting, finance, business administration or a closely related field.
- At least two years' experience in accounts support, bookkeeping, reconciliation, audit support or data-quality work.
- Solid understanding of double-entry bookkeeping, bank reconciliation, receivables and supporting-document controls.
- Strong spreadsheet skills, including lookups, filters, pivots and duplicate/error checks.
- Exceptional attention to detail, patience with repetitive verification and the confidence to say when evidence is insufficient.
- High integrity and discretion when handling client and payment data.
Preferred
- CPA qualification in progress or completed.
- Experience with law-firm accounts, trust/client accounts, escrow, marketplaces or M-Pesa reconciliation.
- Comfort with large CSV exports, SQL-generated reports or data migration projects.
Selection exercise
Shortlisted candidates should expect a practical reconciliation and data-quality exercise. We assess method, documentation and judgment as much as the final answer.
HK Law is an equal opportunity employer. Final engagement terms and compensation will be agreed with the selected candidate.
Senior Software Engineer — Platform & Financial Systems (AI-Assisted)
Location: Nairobi, Hybrid
Employer: Vine Ampelos Ltd (ICT company)
Reports to: Director, Vine Ampelos Ltd
Type: Full-time
Compensation: Commensurate with experience — senior band
Deadline for Submission: 8th October 2026 (applications will be reviewed on a rolling basis)
About Us
Vine Ampelos Ltd is an ICT company building and operating technology across a small portfolio of live products and client engagements, not a single app. Two you'd work across from day one:
- ZAMU, built for HK Law, a tech-enabled legal services group run on its own platform: the Practice (litigation, commercial, and advisory work), ZamuBriefs (a marketplace matching advocates and firms with a vetted, tiered network of briefers for court coverage), Enforcer (a productized judgment-debt enforcement and recovery business run on milestone escrow), and CourtWatch & Data connecting all three. Matters, court sessions, documents, payments, and AI drafting assistants all run through one system — including client billing, trust accounting, and M-Pesa/bank payment processing.
- Nanny911 / YayaMatch, a separate consumer marketplace platform (Laravel backend, Vue/TypeScript frontend, Android via Trusted Web Activity) connecting families with vetted domestic help.
You'll be employed directly by Vine Ampelos, not by HK Law — your day-to-day work will span both ZAMU and Nanny911/YayaMatch (and whatever else joins the portfolio), not one product exclusively.
About the Role
We're looking for a senior developer to work across Vine Ampelos's portfolio of products: general AI-assisted platform development day to day, and a specific, high-stakes project we need a senior owner for on the ZAMU side — tracing and fixing a set of accounting and payment-processing issues in that platform's financial systems.
This isn't a traditional software development role, and the ZAMU work in particular isn't a pure accounting role either. You'll work alongside AI coding agents to design, review, test and improve production code across multiple codebases, combining engineering judgement with modern AI-assisted development. Threaded through that day-to-day work is a standing responsibility on the ZAMU side: its billing, trust accounting, and payment-processing subsystems accumulated real technical debt over several years, including a bug that caused some client payments to be recorded incorrectly, and an incomplete rebuild of the firm's double-entry ledger. Someone senior needs to own seeing that through — this role is that person.
This role is for developers with real seniority (roughly 5+ years, production experience across PHP frameworks) who are comfortable reading and improving large, imperfect existing codebases, confident using AI coding agents as a force multiplier rather than a crutch, and — critically for the financial-systems half of this role — have genuine working knowledge of double-entry bookkeeping and are comfortable reasoning carefully about money, not just code.
You'll do
Platform Development (AI-Assisted, across the portfolio)
- Translate business requirements into clear instructions for AI coding agents; guide and refine AI-generated solutions until they meet production standards.
- Develop and enhance features across ZAMU (case management, court scheduling, digital payments, AI-powered legal workflows) and Nanny911/YayaMatch (Laravel/Vue marketplace features).
- Integrate payment, messaging and third-party APIs.
- Review AI-generated code for quality, security and maintainability — sharp skepticism matters more than typing speed on products that handle money and personal data.
- Test new functionality across real user workflows; verify database changes and business logic before release.
Financial Systems Reconciliation (ZAMU, ongoing project ownership)
- Trace individual payments and invoices through ZAMU's payment-processing, invoicing, and ledger-posting code to determine the true, correct financial position — and apply corrections safely, with a clear audit trail.
- Work directly with HK Law's accountant to resolve cases where the data alone can't determine the right answer, including contacting a client to confirm what a specific payment was for when needed.
- Continue and complete an in-progress ledger rebuild: real cash/bank reconciliation, trust liability accounting, closing the gap between old and new accounting subsystems, and finishing a phased reconciliation plan already underway.
- Fix underlying code defects as you find them, not just the data damage they caused — recent examples include a source_type naming mismatch that silently broke idempotent ledger posting for thousands of records, a liability account only ever debited and never credited, and one-sided bank-statement import entries.
- Produce clear, written findings that a non-technical accountant or partner can follow: what was wrong, why, what changed, what's still open.
- Know when to stop and ask rather than guess — some of this work needs a human decision, not automation, and this role is expected to recognise the difference.
You should have
- Strong, production-proven PHP experience (Yii2, Laravel, or a comparable MVC framework) and confidence reading, troubleshooting, and safely modifying a live codebase.
- Strong SQL and relational database skills — comfortable reasoning about schema, data integrity, and safe migrations on a live production database.
- Real working knowledge of double-entry bookkeeping and accounting fundamentals (trial balance, P&L, balance sheet, accounts receivable, trust/client-money accounting) — enough to judge whether a ledger entry is correct, not just whether the code runs.
- Experience with financial data reconciliation, forensic-accounting-adjacent work, or similarly rigorous data-integrity investigation.
- Experience using AI agentic coding tools (Codex, Claude Code, Copilot, Cursor, etc.) for real development work, or strong aptitude to pick it up fast.
- Comfort with Git (branches, commits, pull requests) and a genuine track record of taking ownership through to completion.
- Comfort switching context between two live products with different stacks and different stakeholders.
- Clear written communication — a lot of this job is describing precisely what you found and what you want, to both developers and non-technical accounting staff.
Nice to have (not required)
- Experience with legal practice management, professional services billing, or client trust accounting specifically.
- Vue/TypeScript experience for the Nanny911/YayaMatch side.
- Familiarity with M-Pesa/Safaricom Daraja API integrations or East African payment rails.
- Prior experience untangling a legacy system with multiple overlapping subsystems built at different times.
Technology Stack
- PHP (Yii2 — ZAMU; Laravel — Nanny911/YayaMatch)
- MySQL
- Git
- REST APIs
- M-Pesa Integrations
- AI Coding Agents (Claude Code, ChatGPT, Cursor)
- JavaScript/TypeScript, Vue, HTML & CSS
You'll Thrive Here If You…
- Are naturally curious and enjoy figuring out how systems — technical and financial — actually work.
- Question AI output instead of assuming it's correct, and are just as careful with a ledger entry as with a pull request.
- Care more about getting the answer right than about looking clever.
- Are comfortable saying "I can't safely automate this, it needs a human decision" rather than guessing at scale, especially with real client money involved.
- Take ownership and see things through — including the unglamorous parts, like tracing a single KES 1,500 payment back to its source.
- Like variety — you won't be stuck on one product.
Why Join Vine Ampelos?
- Own meaningful, high-stakes work across two live production products with real users, not one narrow ticket queue.
- Work closely with product leadership and, on the ZAMU side, HK Law's own accountant — visible, consequential work.
- Gain hands-on experience with legal technology, consumer marketplace products, payment integrations, and AI-powered development.
- Room to grow into a Technical Lead role as the portfolio grows.
Vine Ampelos Ltd is an equal opportunity employer. We recruit people with ownership, curiosity and the capability to build technology that works.
